Who this notice applies to
This notice covers this website and its enquiry form. Philadelphia Cricket & Community Club is the data controller for enquiries made through the site. Clubbara provides and manages the website as a technical service provider acting for the club.
It does not cover membership, player, safeguarding, employment or other records that the club collects separately. The club may give you another privacy notice for those activities.
Information we use
The homepage uses Mapbox to display the club location. When the map approaches your screen, your browser requests map resources from Mapbox and sends ordinary technical information such as your IP address and browser details. The Mapbox SDK also sends map-load, session and usage events and uses local storage for usage data and a randomly generated identifier. Clubbara does not request or send your precise location, or send enquiry contents to Mapbox.
If you send an enquiry, the form asks for your name, email address, telephone number, enquiry type, subject and message. Please do not include medical information, safeguarding details or other sensitive personal information unless the club specifically asks for it through an appropriate channel.
The services that operate and protect the website may also process limited technical information, such as your IP address, browser or device information, requested page, date and time, and security logs.
Cloudflare Turnstile checks whether an enquiry is likely to come from a person or an automated program. It processes browser and device signals for this security purpose. Enquiry form contents are not sent to Cloudflare.
OneDollarStats provides cookieless page-view statistics. It receives the page visited, an external referring page, campaign parameters, IP address and user-agent information. It uses the IP address, user agent and the start of the current day or hour to create temporary hashes for visitor and visit-duration counts, and provides aggregated information such as browser, operating system, device type and country. Form contents are not sent to OneDollarStats.
Why we use it
The club uses enquiry details to read, route and respond to your message and to take steps you request before entering into any arrangement with you. This is necessary for the club’s legitimate interests in answering genuine questions and running its activities.
Technical information is used to deliver and secure the website, prevent misuse, investigate problems and understand which pages are useful. The club relies on its legitimate interests in providing a safe, useful website and improving how visitors find information. Information may also be used where necessary to comply with a legal obligation.
The club does not sell website visitor information, use enquiry details for unrelated marketing, or make automated decisions about you. The page-view analytics is not used for advertising or individual profiling.
Processing outside the UK
Some service providers may process information outside the United Kingdom. Where this happens, the club and Clubbara require an appropriate legal safeguard, such as an adequacy regulation, the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses. Resend stores service data in the United States and documents safeguards for UK transfers.
How long information is kept
Finalised delivery-queue records are normally removed from Convex within 25 minutes. A non-finalised record becomes eligible for deletion after six hours and is normally removed within six hours and 15 minutes. Resend retains sent email content and delivery logs for 30 days on its standard plans.
The club keeps the delivered enquiry in its inbox for no longer than 12 months after its last contact with you, unless it is needed for an ongoing matter, legal claim or legal obligation.
Security and hosting records are kept for the periods set by the relevant provider and only while needed to operate or protect the site. Aggregated page-view statistics are kept while they remain useful for understanding and improving the website, then deleted or anonymised.
Your data protection rights
Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, or a copy in a portable format. You may also object to processing based on legitimate interests. Some rights have legal limits.
To make a request, email craigagalley39@gmail.com. The club may need to confirm your identity before acting. You can also complain to the Information Commissioner’s Office if you are unhappy with how your information has been handled.
Children and sensitive information
The website contains information for families and junior participants, but the general enquiry form is not designed to collect detailed information about children. A parent or guardian should make an enquiry for a child where appropriate. Do not use the form to report an urgent safeguarding concern.
